Free rent receipt template (PDF): what a receipt must include, plus a generator
You need a rent receipt and you need it now: the tenant is standing there with cash, or has just asked for one by text. Below is a blank receipt you can print straight from this page, or save as a PDF in two clicks, with every field the stricter state laws ask for. After it: a filled-in example, how to complete each line so the receipt is worth something later, and a generator that types it for you and keeps a running ledger.
The blank template (print it or save as PDF)
Press the button, then in your browser's print dialog choose your printer or Save as PDF. Only the receipt prints, not this article. It fits one Letter or A4 page in portrait with room to spare; print two per sheet if you like by choosing "2 pages per sheet" in the dialog.
Full payment unless a balance remaining is shown above. Keep one copy for the tenant and one for the landlord's records.
The layout follows the fields required by the most explicit state statutes (see below) plus the practical extras that settle disputes: a receipt number, the payment reference, the late fee as its own line, and the balance after a partial payment.
What a rent receipt must include
Most states never specify a receipt format. The ones that do agree on the same core. New York's statute requires a receipt to show the date, the amount, the identity of the premises and the period for which paid, and the signature and title of the person receiving the rent (N.Y. Real Property Law § 235-e). Texas requires a written receipt for cash rent and a record of the date and amount (Tex. Prop. Code § 92.011). Washington requires a receipt for any cash payment and, on request, for any other payment (RCW 59.18.063). A receipt that satisfies New York's list will satisfy the rest.
| Field | How to fill it in |
|---|---|
| Receipt number | Sequential, never reused. 2026-014 or simply 1014. Gaps and duplicates are how a receipt book gets challenged. |
| Date received | The day the money arrived, not the day you wrote the slip. This is what proves the payment was on time. |
| Received from | The tenant's name as it appears on the lease. If a relative paid, write "from [name] on behalf of [tenant]". |
| Amount, and in words | "$1,250.00" and "one thousand two hundred fifty dollars". The words stop a 0 from becoming a 9. |
| Property and unit | Full street address plus the unit. Essential if you have more than one door. |
| Rental period covered | "September 1 to 30, 2026." A receipt without a period cannot prove which month was paid. |
| Payment method and reference | Cash, check (number), money order (serial), transfer or app (reference). This is what lets the receipt be matched to a bank record later. |
| Late fee | Its own line, never folded into "rent". If the tenant paid rent plus a $50 late fee, the amount is $1,300 and this line says $50. |
| Balance remaining | Only for partial payments. "$400 remaining for September." Leave blank for full payment. |
| Received by, signature, title | Your name, "owner" or "property manager", and a signature. An unsigned receipt is a note, not a receipt. |
A filled-in example
RENT RECEIPT Receipt no. 2026-014
Date received: 3 Sep 2026
Received from: Maria Lopez
Amount: $1,300.00 (one thousand three hundred dollars)
For rent at: 418 Elm Street, Unit 2B, Springfield
Rental period: September 1 to 30, 2026
Payment method: Money order, serial 21-884-5512
Late fee included: $50.00 (rent received after the 5th, per lease s. 4)
Balance remaining: None
Received by: Dana Whitfield, owner
Signature: D. Whitfield Date signed: 3 Sep 2026
Notice the late fee is visible, the money-order serial is recorded, and the period is a date range rather than "September rent". Each of those is a question that would otherwise come up at move-out or in a hearing.
Skip the handwriting: the generator produces this receipt as a finished PDF in about 30 seconds. The core fields above are in the form: receipt number, rental period (a month or a date range), payment method with check number, late fee, balance remaining, and a received-by / title / signature line to sign by hand. (Amount in words isn't included. Write it in by hand if your policy requires it.) Save the payment and it becomes a row in that tenant's ledger, so January's yearly statement is one click.

How to issue it so it holds up
- Fill it in before you hand over the copy. A receipt completed later from memory is worth less than one completed with the tenant watching.
- Count cash in front of the tenant and write the amount they see you count. If the tenant paid by check, write the check number; if by app, the transaction reference.
- Sign it. Then either make a second copy, photograph the signed receipt with your phone, or record it in the ledger the same day. New York, for example, requires landlords to keep a record of cash receipts for three years (RPL § 235-e); your own tax records should go back at least that far anyway.
- Hand it over on the spot for cash. New York requires the receipt immediately for in-person cash payments and within 15 days otherwise. Even where there is no rule, a receipt given a week later invites the question "why the delay?"
- Note anything unusual on the receipt itself. "Partial payment, balance due 15 Sep by agreement." A receipt that records the arrangement is the arrangement.
If cash is the usual payment method for your tenant, the companion guide on documenting cash rent properly covers the extra steps: a receipt book with carbon copies, same-day deposits, and how to handle a tenant who wants to pay in cash without a paper trail.
Do you have to give one at all?
It depends on your state. Some require a receipt for every cash payment (New York, Texas), some for any payment when the tenant asks (Washington, Maryland), and many have no statewide rule, though your lease or your city might. The full picture, with statutes, is in do landlords have to give rent receipts?. The practical answer is simpler: a receipt for every payment takes seconds and ends the most common landlord-tenant dispute, "I paid" versus "you didn't", before it starts.
From receipts to a ledger
A receipt is a snapshot of one payment. A ledger is the film: one row per payment per tenant, with the same fields, so that at tax time you can total a year of rent and in a hearing you can show the full history rather than a stack of slips. The IRS expects landlords to keep records that support the rental income they report (IRS, rental real estate recordkeeping). If you use the printed template, copy each receipt's number, date, amount and period into a spreadsheet the same day; the column layout is in how to keep a rent ledger as a small landlord. If you use the generator, the ledger row is created when you save the receipt.
Frequently asked questions
How do I get this rent receipt template as a PDF?
Press "Print this receipt" above, then choose Save as PDF as the destination in the print dialog. Only the blank receipt prints. Or use the generator, which fills in the fields and downloads a completed PDF.
What must a rent receipt include?
Date received, amount, tenant name, property address and unit, the rental period covered, payment method, and the name, title and signature of the person who received it. Add a receipt number, any late fee as its own line, and the balance remaining if the payment was partial.
Can a rent receipt be handwritten?
Yes, as long as it carries the required fields and is legible. The risk is a missing period or an unsigned slip, not the handwriting. Keep a copy or a photo of every receipt you hand out.
Does a landlord have to give a rent receipt?
Depends on the state: some require one for cash, some on request, many have no statewide rule. Giving one for every payment costs seconds and settles the most common dispute before it starts.
